Overview

The Office Manager is responsible for organizing and coordinating office administration and procedures, to ensure organizational effectiveness, efficiency, and safety while following the Alliance Laundry Systems quality standards. 

 

The Office Manager will partner with the General Manager to attend to internal and external teams/vendors and be responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, and task delegation. 

 

The ideal candidate will need a combination of administrative experience, organizational skills, communication skills, problem-solving ability, and leadership capabilities. 

Responsibilities

  • Provide administrative assistance and support to the Service, Sales, and Operation Team while overseeing the day-to-day administrative operations of the office. This includes managing office supplies, equipment, and ensuring that office facilities are maintained and in good working order

  • Customer support expert, serving as a point of contact inside the office, managing incoming calls or correspondence, and communicating with internal and external partners or suppliers. Handles customer inquiries and addresses any discrepancies

  • Managing the office budget, handling expenses, invoicing clients, processing payments, and other bookkeeping responsibilities communicating with corporate regarding local A/R and A/P inquiries

  • Manage staff relations including; mentoring, training, and issuance of discipline. Responsible for developing and enforcing office policies and procedures to improve efficiency and tackle issues such as workplace safety, data protection, and health regulations

  • Will assist with onboarding of new employees, conducting orientation sessions, and managing payroll

  • Responsible for facility management, ensuring that the office environment is safe, professional, and conducive to productivity. This might involve dealing with repairs, maintenance, and liaising with cleaners or other contractors 

  • Overseeing special projects or events, coordinating with various team members to ensure that office deadlines and operational goals are met

  • Participates in process improvement initiatives as a cross-functional team member to maintain efficient department operations, and effectively communicates top-level escalations to team leaders 

Qualifications

Education & Experience:  

  • Associate’s or Bachelor’s degree in business administration, or related field preferred
  • At least 4 years of related work experience required
  • An equivalent combination of education, training, and experience will be considered
  • Certifications in office management, project management, or related areas a plus
  • Experience with QuickBooks and SAP strongly preferred

  • Business acumen; Ability to grasp understanding of business models and key drivers quickly; Ability to delegate responsibilities while maintaining organizational control of daily operations and customer service
  • Strong organizational skills; Ability to self-manage workload and multiple projects simultaneously while managing and meeting tight deadlines
  • Strong analytical skills: able to gather and analyze large amounts of data, identify goals, explore, and select solutions, evaluate results, implement change, and report activities to upper management
  • Proficiency with office software, including word processing, spreadsheets, email, and database management. Working knowledge of management software programs
  • Leadership skills: demonstrates trust and respect for others, looks for ways to build positive relationships on the work team, able to communicate expectations, and coach and develop employees for success
  • Strong diplomacy skills; Ability to handle conflict management and business negotiation processes; Ability to partner and form strong working relationships fostering a problem-solving approach
  • Excellent written, verbal, and interpersonal communication skills; Communicate effectively and professionally across all levels of the organization and external stakeholders; Confidence in creating and delivering presentations to internal and external customers
  • Strong work ethic; Self-starter, demonstrating a proactive approach, self-initiative, and tenacity. Resilient; Able to confidently navigate ambiguity and change

Standard and Physical Requirements:

  • Position involves sitting for prolonged periods, standing, manual dexterity, stooping, and bending
  • Position requires the ability to lift, carry, push, and pull up to 50 lbs. occasionally. For greater weight items assistive devices will be provided

For New York the base annual salary for this role starts at $71,900.00. Actual compensation is influenced by a variety of factors including but not limited to skills, experience, qualifications, and geographic location.
