Overview

This role provides administrative support to the Product Engineering Team. Key responsibilities include managing the calendars of Engineering Team Leaders to optimize their schedules, prepare for meetings, coordinate travel arrangements, and maintain records.

Responsibilities

  • Manages the Engineering Team Leaders’ calendars, responding to requests for time and rescheduling when necessary.
  • Prepares for department, staff and other meetings including creating agendas, preparing any meeting materials or presentations, scheduling the conference space required, connecting meetings to the required technology, facilitating refreshments and may include managing the budget for these meetings and /or conferences. 
  • Coordinate domestic and international travel arrangements including scheduling, preparing itinerary and agendas; assisting in acquiring travel documents (passports and visas) as needed.
  • Maintains accurate records and files for easy retrieval when information is requested or needed. 
  • Assist with the preparation, publishing and control of highly proprietary documents.
  • Assist with special projects or needs as requested.
  • Produce reports in various formats for leadership and staff when requested
  • Prepares and submits requisitions and/or purchase card reports per company policy and procedures. 
  • Maintains a comprehensive understanding of department policies, procedures and department members’ methods of operation to effectively and efficiently conduct duties and responsibilities.
  • Assist in scheduling team member events, luncheons and meetings.
  • Contribute to increasing team efficiency by providing support both operationally and administratively.

 

Qualifications

Education and Experience:

 

  • 3+ years of administrative experience in a corporate environment supporting various levels of management.
  • Associate’s degree in Administrative Professional, Business or related field is preferred.

 

Skills and Abilities:

 

  • Advanced computer skills with Microsoft Office Suite (PowerPoint, Word, Excel, and Outlook)
  • Ability to work on and complete multiple projects simultaneously
  • Excellent written and verbal communication skills
  • Ability to proactively identify, troubleshoot and resolve issues that may arise
  • Ability to work independently and as part of a team
  • Ability to prioritize and stay organized in a changing environment
  • Ability to work in a team environment with exceptional customer service skills and a high degree of professionalism required.
  • The flexibility and resilience to work well under pressure, maintain confidentiality, and quickly adapt to rapidly changing needs and priorities 
  • Attention to detail and accuracy are a must.


Standard and Physical Requirements:

Position involves sitting long periods, standing, manual dexterity, stooping, bending and minimal lifting.
